Registration

Submitting authors must register for the Conference prior to submitting an abstract. 
 
You must register for the Conference before you can submit an abstract. Click Here to Register! 
 
Once registered, you will receive a registration confirmation letter with a link to submit an abstract. 
 
The submitting author must be the same person who will present the abstract at the Conference. All accepted abstracts will be published in the CMV 2019 Abstract Book. 
 
You may submit more than one abstract for review. However, each submission must be completed before a new abstract submission can be started. 
 

Acceptance of Abstracts

Compliance with all stated conditions including adherence to the deadline is required. A confirmation email will be sent to the submitter once the submission is complete. 
 
Submitting authors must register to attend the Conference prior to submitting an abstract.  The abstract submission period closes on Monday, 10 December 2018.  
 
The Organizing Committee reserves the right to accept or decline all submissions and to select the presentation format. If your abstract is NOT accepted for either a poster or oral presentation, your registration fees will be reimbursed to you in full, upon request. If your abstract is accepted for a poster or oral presentation, the standard cancellation policy applies. 
 
Submitters will be notified of acceptance status and form of presentation by Friday, 11 January 2019.
 

Awards

Merit-based awards will be available to post-doctorates, graduate students, and trainees with highly-scored abstracts. The award will consist of complimentary registration to attend the Workshop. If you would like to apply for a merit-based award, you must register for CMV 2019, submit an abstract, and answer the award questions on the abstract submission form. 

The link to the abstract submission site and merit-based award application will be included in your registration confirmation email. Merit-based award applicants will be notified of their decision with their abstract disposition notice on Tuesday, 15 February 2019. If you are selected as an award recipient, your registration fee will be refunded to the credit card used during the online registration process. Awards are non-transferrable.

Speaker Information

All oral presenters must provide their final presentation on a USB drive at Speaker Check-In during the designated times. Both Mac and PC laptops will be used and equipped with the latest software. Presentations should be provided in Keynote or PowerPoint. Personal laptops may not be used. The Speaker Check-In schedule is in place to ensure that all sessions run smoothly. Failure to to submit your presentation as indicated may result in technical errors or mission graphics for your presentation.

Oral Presentation Guidelines

  • Keynote presentations are 20-minutes plus 5-minutes for questions and answers.
  • Oral abstract presentations are 10-minutes plus 5-minutes for questions and answers. 

 

Presenter Guidelines

  • Arrive to your presentation room 15-minutes prior to the session start time to familiarize yourself with the microphone, slide advancer, and stage set-up.
  • Please be seated at the front of the presentation room in the row reserved for speakers.
  • The Session Chairs will introduce you and monitor the length of the presentation. 
  • A speaker timer will be visible from the podium.
  • A laser pointer and slide advancer will be available at the podium for your use. 
  • All mobile phones must be turned off while you are presenting. 

 

Poster Requirements

  • Poster presentation space is limited to the dimensions of 44 inches x 44 inches (112 cm x 112 cm)
  • Push pins will be provided to affix your poster to the display board.
  • All posters must remain up for the duration of the Conference.
  • At least one of the authors must be present at your poster during the presentation session designated for the poster topic.

 

Suggested Poster Format

  • Poster numbers will be provided onsite. Poster numbers will be placed above your poster; you do not need to leave room on your poster for your poster number.
  • Posters should be easily read at a distance of 1.5 meters (5 feet).
  • A poster printed on one large sheet of foldable fabric or matte/semi-gloss paper is encouraged. 
  • Include the title of the presentation in large letters, the authors' names, and the institution(s) where the work was completed at the top center of the poster.
  • Introduction and Summary/Conclusions sections are advised.
  • Lines of text should be double-spaced.
  • Only text, graphs, photographs, and artwork may be placed on the poster board.
